HearthMeet / Nodemon LLC (“HearthMeet,” “we,” “us”) operates the HearthMeet mobile app and hearthmeet.com. This policy explains how we collect, use, and protect information when you use our home-care communication platform.
1. Information We Collect
HearthMeet collects the following categories of information:
- Account information: name, email address, phone number, and role (family member, caregiver, or agency).
- Voice recordings made by caregivers during visits, and by loved ones during AI-assisted self check-ins.
- Visit transcripts and care notes generated from those recordings.
- Care information: loved-one profiles, medications, care preferences, AI-generated summaries, and wellness insights.
- Messages: text and voice messages between families and caregivers.
- Device information and app usage data: push notification tokens, app version, and basic diagnostic logs needed to operate the service.
- Camera: used only to scan QR codes to link caregivers with clients. We do not store raw camera video.
- Payment information: processed by Stripe. We do not store full card numbers on our servers.
2. How We Use Your Information
We use your information to:
- Generate AI-powered visit summaries and care insights.
- Deliver real-time care updates to authorized family members.
- Produce compliance reports for home care agencies.
- Authenticate users, prevent fraud, and improve platform reliability and performance.
- Send transactional email and SMS (e.g., login codes, welcome messages, care alerts).
- Process subscriptions and tips where enabled.
3. AI Processing and Third-Party Services
HearthMeet uses third-party AI transcription and analysis services to process voice recordings and generate care summaries. These services:
- Receive voice recordings and transcript data solely to perform their designated function within the HearthMeet platform.
- Operate under data processing agreements that prohibit use of your data to train AI models.
- Are required to maintain the same or equivalent data protection standards as HearthMeet.
Your care data and voice recordings are processed by the following third-party AI services:
- Anthropic — visit summarization and care note analysis
- OpenAI — voice transcription (Whisper)
- ElevenLabs — voice delivery and companion (Aria self check-in)
No data is used to train AI models. Audio recordings are deleted after 90 days. For questions about our AI providers, contact us at hello@hearthmeet.com.
4. Audio and Health-Related Data
Caregiver visit audio and loved one self check-in audio are uploaded for transcription and summary generation. After processing, original audio files are deleted from our storage when technically feasible. Summaries and transcripts may be retained as part of the visit record visible to authorized family members and agencies.
HearthMeet is designed to support home-care coordination. We are not a medical provider. Information in the app is not a substitute for professional medical advice.
5. Data Retention
Voice recordings are retained for a maximum of 90 days, after which they are permanently deleted. Transcripts and care summaries are retained for the duration of your active account. We retain account and visit data as needed for legal, billing, and safety purposes.
6. HIPAA Compliance
HearthMeet is designed for HIPAA compliance. All protected health information (PHI) is encrypted in transit (HTTPS/TLS) and at rest. Business Associate Agreements (BAAs) are maintained with all third-party vendors that process PHI on our behalf.
7. Who We Share Data With
- Within your care circle: families, caregivers, and agency administrators you are linked with through QR codes, agency codes, or invitations.
- Service providers: cloud hosting, email/SMS delivery, payment processing (Stripe), and AI processing partners under contractual confidentiality obligations.
- Legal requirements: when required by law or to protect rights, safety, and security.
We do not sell your personal information.
8. Security
We use industry-standard measures including encryption in transit, secure credential storage on devices, and access controls on our servers. No method of transmission over the Internet is 100% secure.
9. Children
HearthMeet is not directed to children under 13. We do not knowingly collect personal information from children under 13.
10. Your Choices
Access, correction, or deletion: You may request deletion of your data at any time by contacting hello@hearthmeet.com. We will verify your identity and respond within a reasonable time.
Withdrawal of AI consent: Withdrawal of consent for AI processing will limit your access to AI-generated features such as visit summaries and wellness insights.
Push notifications: Disable in your device Settings → HearthMeet → Notifications, or in-app notification preferences where available.
California residents: You may have rights to know, delete, and correct personal information, and to opt out of certain sharing. We do not sell personal information. Submit requests to hello@hearthmeet.com.
11. International Users
Our services are operated from the United States. If you use HearthMeet from other regions, your information may be processed in the U.S.
12. Changes
We may update this policy. We will post the new version on this page and update the “Last updated” date. Material changes may be communicated in the app or by email.
